INTERNATIONAL TRIP TERMS AND POLICIES

1. Booking & Reservation Requirements

• Making reservations for this package signifies your acceptance of our Terms and Conditions.
• Your name must appear exactly as it is listed on your passport.
• Any name changes must be directed to the Melanin and Stamped team. The fee for a name change is $250 plus any applicable vendor fees.
• Some vendors do not allow name changes at all. In such cases, the booking would need to be canceled and rebooked at the current rate and availability.

2. Payments

• Monthly payments are due on the 10th of each month.
• Payments must be made on time to keep your reservation current.
• Reservations that go 30 days without a payment may be canceled without notice.
• A late payment fee of $100 per person will be applied 3 days after the missed payment date.
• A reinstatement fee of $250 per person is required, in addition to your past due balance, to reinstate your booking after cancellation. Reinstatement must be approved to make the trip active again.
• All Melanin and Stamped trips are non-refundable and non-transferable.

3. Travel Documentation

• A valid passport is required for all international travelers.
• Your passport must be valid for at least six months beyond your return date.
• It is the traveler’s responsibility to obtain all necessary visas and/or vaccinations required for entry.
• Failure to present the required documentation may result in denied boarding or entry without refund.

4. Refunds, Transfers & Insurance

• All Melanin and Stamped trips are non-refundable and non-transferable.
• We strongly recommend purchasing travel insurance at the time of booking or no later than 14 days after booking.
• “Cancel for Any Reason” coverage must be purchased within 14 days of booking.
• Melanin and Stamped will provide you with a direct link to purchase travel insurance.
• All claims are handled directly with the insurance provider.

5. Roommate Policy

• Roommate information must be provided at the time of booking or within 14 business days.
• You must ensure your roommate, if applicable, is also making timely monthly payments.
• Your selected roommate(s) should make their reservations within 14 days of your reservation. If not, your reservation will be adjusted to current occupancy, and your price will change to reflect the new occupancy rate.

6. Arrival Recommendations

• Melanin and Stamped will provide recommended flight information.
• We highly recommend arriving at your international gateway city at least one day prior to the start of the trip to avoid delays due to flight changes or cancellations.

7. Activities & Excursions

• Group activities organized by Melanin and Stamped will have designated meeting points and times.
• It is your responsibility to arrive on time for each scheduled activity.
• Missing an activity due to late arrival will not result in a refund.

8. Communication

• You are responsible for keeping Melanin and Stamped informed of any changes to your email address, phone number, and mailing address.
• Important updates will be sent via email and/or group messaging prior to departure.

9. Who Can Travel

• Men and women ages 21+ are welcome unless otherwise noted.
• Some activities may have age restrictions based on vendor policy.

10. Code of Conduct

• Respectful behavior toward fellow travelers, Melanin and Stamped hosts, and staff is required.
• Disruptive, unsafe, or illegal behavior will result in removal from the group without refund.
• Guests are expected to follow all venue rules and regulations.

11. Itinerary & Pre-Trip Preparation

• A full itinerary will be sent via email at least 30 days prior to travel.
• Pre-trip virtual meetings will be scheduled to ensure you are fully prepared and ready to travel.
